Organise around one event

Create one event file using its claim reference and an identifiable name. Keep the notification, policy papers, photographs, quotations, and responses together. It need not be elaborate. Its main purpose is to prevent an enquiry being answered with an outdated attachment from another event.

Keep a short working note of outstanding questions and the latest arrangement. Do not replace originals with that summary. A memory aid is different from a confirmation actually received.

Store versions consistently

Use dates and subjects in filenames, such as a date followed by sofa quotation or response on cause. Give revisions a version or clear status. Calling a document final adds little if three later versions follow.

Preserve attachments as actually sent. When correcting an inventory, keep the submitted earlier version identifiable. An acknowledgement or portal notice may show what was received; store it with that submission.

For pictures, an object reference is more useful than only the camera's automatic number. Preserve originals and create separately named copies where needed. Inventory numbers can connect images, quotations, and examination reports.

If a contractor changes the scope, keep the explanation with the revised quotation. A different total alone does not show whether the change concerns quantity, newly found damage, or an optional improvement.

Include telephone and portal records

After a call, note its date, contact, subject, and concrete arrangements. Confirm important points in writing where possible. Your note shows what you recorded; the other party's reply can confirm whether the account is shared.

Download relevant portal messages or documents where available. Do not assume indefinite access after closure. Ask how to obtain copies of relevant file material if necessary.

Kifid describes supplying digital documents and relevant correspondence with a complaint. An organised record makes that later step easier. Share copies through the appropriate channel and retain your own collection.

Track the remaining questions

For each new response, identify which question it answers and what remains. If only arithmetic was corrected, do not mark a technical disagreement resolved.

Protect personal information and avoid public access to the entire folder. A sending copy can contain only relevant documents. This keeps records useful without automatically attaching every photograph, banking record, or private exchange to each message.

Before sending a follow-up, check its attachments once. A short message referring to the correct dated version is more useful than a long thread containing several conflicting documents without an explanation.
